Carl Zeiss is one of the world’s leading suppliers of capital equipment in the fields of Ophthalmology, Microsurgery, Microscopy Systems and Confocal Laser Scanning Microscopes.

Currently we are seeking to fill the following position:

Receptionist / Office Support
  • World’s leading optics company
  • New office environment
  • North Ryde location
We currently have a Receptionist / Office Support position available to start as soon as possible.

Reporting to the Chief Financial Officer, your associated duties will include, but are not limited to:
  • Daily collection and distribution of mail and faxes.
  • Attend to front desk visitors and guests
  • General upkeep of front and other office areas
  • Answering incoming telephone calls, redirecting and announcing incoming calls.
  • Ensuring all customer calls are attended to and followed up promptly
  • Co-ordination and booking of couriers and taxis as required
  • Maintenance and filing of various forms, directories and general company information for office use
  • Booking and/or hiring of meeting rooms, facilities or equipment as directed
  • Arrange, order and distribute catering for meetings and training sessions as required
  • Updating monthly ‘Who, Where, What’ spreadsheet on LN CZANZ Info tile
  • Folding, enveloping, recording and posting of all outgoing mail, express posts and parcels
  • Provide administrative assistance for customer mailers. Assistance with large mailouts will be determined
  • Monitoring supplies, amenities and notification of facility problems
  • Ensuring supplies of stationery and office supplies are kept to the right level
  • Responsible for Service Report close outs
  • Travel and accommodation bookings for all staff and Company guests. Bookings are to be made within one working day of receipt and confirmed as received
  • Reconciliation of travel applications against monthly Amex statements.
  • Monthly collation and mailout of Finance invoices
  • Provide general support to Sales and office staff as required

We are looking for someone who has:
  • 2 + years experience in a reception and office administration support role
  • Sound computer literacy in Lotus Notes, Microsoft Office suite (Word, Excel and PowerPoint)
  • Ability to manage multiple tasks with a sense of urgency
  • Strong organizational, communication and interpersonal skills
  • Excellent customer service focus, including professional telephone manner, attentiveness and patience
  • Self-managed individual able to work with minimal supervision
  • Proactive approach and willingness to assist others.
